Position Summary The Office Administrator is responsible for managing daily office operations, Key Responsibilities Administrative Support • Manage daily office operations and maintain organized records • Assist in preparing estimates, service agreements, submittals, plans, and operation manuals • Work closely to support New Construction, Service, and Install teams Scheduling & Dispatch • Handle emergency scheduling when needed Customer Service • Greet in-person office visits Inventory & Coordination • Assist with tracking parts, equipment, and office supplies • Coordinate with vendors and suppliers • Support technicians with job-related documentation Culture • Coordinate internal and external events such as lunches, training, trade shows, and recruiting events • Advocate for and support a best-in-class company culture with local coworkers and coworkers in other locations Qualifications Required • High school diploma or equivalent • 2 years of administrative or office experience • Strong communication and organizational skills • Ability to multitask in a fast-paced environment • Proficiency in Microsoft Office (Word, Excel, Outlook) Preferred • Familiarity with AI tools such as ChatGPT and Claude • Experience in HVAC, construction, or service industry • Familiarity with dispatching or CRM software (ServiceTitan) • Basic knowledge of HVAC terminology and services Key Skills • Time management and scheduling • Customer service excellence • Attention to detail • Problem-solving • Team coordination Work Environment • Office setting with frequent phone and computer use • Occasional high-pressure situations during peak seasons (summer/winter Salary/Compensation • $20-$30 Hourly DOE • Hours Monday-Friday 8 AM-4:30 PM Equal Employment Opportunity Statement The Company is an equal opportunity employer and does not discriminate based on race, color, religion, sex, national origin, age, disability, genetic information, or any other protected status.
